St. Bernard’s School is a K-9 independent boys’ school founded in 1904.  The school, located on the Upper East Side, serves a diverse community of approximately 350 students and 100 faculty members.

Junior School Associate

Reports to: Head of Junior School 
Division: Junior School 
Status: Exempt
Position Supervises: N/A 
Work Schedule: 7:30 am to 3:30 pm, 5 days a week
A Junior School Associate is a suitable position for one who is in the early stages of his or her career as an educator.  Associates work alongside homeroom teachers to assist with the day-to-day operations of the classroom and support students in the grade for the entire year.  Associates work most often with small groups of students and throughout the year have the option to lead full group lessons.  As full-time faculty members, Associates are a valuable part of grade-level teams who engage in frequent collaboration related to planning and teaching.
  • Assist in creating instructional resources and lesson plans for use in the classroom
  • Assist homeroom teachers throughout the day
  • Plan, prepare, and deliver lessons for small group work
  • Help to create a positive educational climate for students in which to learn
  • Manage student behavior in the classroom by invoking successful classroom management strategies
  • Write reports and evaluations of students’ work

Business Office Associate 
Reports To: Controller / Director of Human Resources 
Department: Business Office/ Human Resources 
Status: Exempt 
Position Supervises: N/A
Work Schedule: 9:00 a.m. to 5:00 p.m. Monday to Friday 
Job Overview: The Business Office Associate is responsible for processing a semi-monthly payroll for 100+ employees, supporting benefits, and for Billing and supporting Accounts Receivable-related functions. 
  • Onboarding of new employees in ADP
  • Enter and verify employees’ salaries and supplemental payments into ADP
  • Enter and verify benefits deductions
  • Ensure timely processing of semi-monthly and supplemental payrolls
  • Responds to unemployment claims, IRS Notifications, and other employee verification requests 
  • Respond to employee inquiries regarding payroll 
  • Prepare semi-monthly journal entries for review and posting by Controller 
  • Check and log time records for non-exempt employees
  • Prepare payroll related reports and reconciliations in conjunction with the annual financial statement and 403(b) audits
  • Additional duties assigned by Human Resources or Business Office 
  • Assist employees with benefits issues and plan changes 
  • Process and/or coordinate life status changes and updates to employees’ files
  • Support all aspects of our benefits and wellbeing programs comprising medical, dental, vision, life, flex spending, and other voluntary and retirement benefits
  • Process employee information and deduction changes for payroll
  • Provide reports for the annual audits with regards to 403(b) contributions and other benefit programs
Student Billing, Receivables and Cash Receipts 
  • Accurately maintain the integrity and timeliness of student accounts, charges, fees, credits, adjustments, and refunds
  • Responsible for the timely billing of tuition charges as well as charges for other school-related activities and programs; these include but are not limited to after school programs and school supported student activities for financial aid recipients
  • Correspond with parents regarding account-related matters
  • Work with Controller to upgrade and implement software that relates to billing, contract management, online payments, and more 
  • Ensure the timely deposit and accurate recording of all receipts associated with student-related charges, as well as all other cash receipts
  • Reconcile billing records and prepare monthly journal entries for review and posting to the General Ledger by the Controller
  • Ensure compliance with internal policies and procedures for managing accounts and funds 
  • Identify opportunities for process improvements
  • Prepare reports for the audit with regard to tuition and student accounts.
  • Assist the Business Office with any additional duties as assigned
  • Bachelor's degree required 
  • High degree of computer literacy; proficiency with MS Office
  • Knowledge of ADP preferred 
  • Experience working with Blackbaud or similar software product preferred
  • Appreciation for and commitment to independent school education and culture 
  • Strong interpersonal skills including the ability to work graciously with the school’s community while maintaining discretion and confidentiality 
  • Detail-oriented with an ability to think both analytically and critically
  • Excellent verbal and written communication skills; strong data analysis skills
